Position Summary
The Marine Personnel Coordinator is responsible for the logistics of endorsements, visa applications, joining letters and administration of general Marine HR activities

The Marine Personnel Coordinator is responsible for the logistics of endorsements, visa applications, joining letters and administration of general Marine HR activities
Major Responsibilities
- Treat safety and environmental compliance as a top priority.
- Interact with Vessel Fleets/Teams in matters of day to day Marine HR operations.
- Conduct verification audit (internal) for checklists, contracts, and Officer documentation.
- Apply for and monitor applications for licenses/endorsements made to relevant Flag authorities; track same.
- Issue visa letters and necessary supporting documentation, as required..
- Manage the ships mail (Glasgow office only)
- Coordinate anniversary programme, including catalogue updates and gift ordering.
- Issue relevant documentation for joining vessel including Service Terms & Conditions, Appendix A & D for the joining messages that the MPOs send to the officers.
- Assist the MPOs in ensuring completed Seafarers Required Documentation is received from Officers (excluding Philippine & Indian Nationals) before they off-sign by providing the off signers report.
- Assist the MPOs in highlighting delayed off-signers, for possible contract extensions to be issued.
- Co-ordination of seafarer benefits (e.g. Lounge Access, Private Medical Insurance) and communication of revised terms and conditions (e.g. payscale letters).
- Review and approval of regional seafarers ship joining & leaving expenses.
- Review and approval of flag state endorsements invoices.
- Providing backup - including vacation coverage for team.
- Providing after office hours coverage as appropriate.
- Ability to respond positively to customers in an effective manner.
- Demonstrates teamwork, interpersonal and communication skills.
- Proficient in Microsoft Office applications.
- Familiar with industry regulations, for example, STCW convention and flag state regulations.
